Tasks, steps, and checklists

Every booking drags a tail of small jobs behind it that have nothing to do with the run of show. Chase the final numbers, book the parking, order the extra linen, post the gallery. None of it belongs on the crew timeline and all of it is easy to lose. Tasks are for exactly this.

A task is cheap to jot down

Open Tasks in the sidebar and add one. A title is all it needs. Optionally give it notes, a due date (it badges the row and turns red once it is late), an assignee from your team, and the event it belongs to. Tick it off, drag it into order, edit it inline. The sidebar carries a small count of your own open tasks so you can see from any page whether something is waiting on you.

Filter the list three ways: open or all, everyone’s or just yours, and one flat list or grouped by event. 1pm remembers the view you like.

Steps, for the jobs that are really a process

Under every task is an Add a step box. Type, press Add, repeat. Steps tick off independently, drag into order, and show as a count on the task (“3/5”). No template, no setup, nothing to configure first.

Ticking the last step does not tick the task. That is deliberate. The moment a job is genuinely finished is a judgement call, and the last real act is often not one of the steps.

Save it once, reuse it forever

Built a good set of steps? Save as checklist turns them into a reusable set you can drop onto any future task. Nobody sits down and writes fifteen checklists they might need one day. They do the job once, realise they will do it again, and save it. Checklists live in a column beside the task list, so building one and using one happen on the same screen.

Every event’s planner page also gets its own Tasks section under the run of show, pinned to that booking. It is the planner’s private list, quite separate from Requests, which are the things you ask your crew to send back. Crew never see tasks.
