Give your client the run of show

Your crew have had a live link to the run of show since day one. Your client can now have exactly the same thing: a private link into their own event that shows the timeline as it stands right now, updates while they are looking at it, and needs no login and no password. It turns “can you send me the latest timeline?” into a page they check themselves.

One click, while the quote is still out

The moment you most want to show a client how their day runs is usually before they have paid you anything, so it lives on the lead. Open the menu on a lead row and choose Add [their name] to portal, the item with the globe. It appears only when there is something to give: the lead has a booking, the booking has a Client contact, and no link has been issued yet.

Nothing is emailed at that moment. Issuing the link and sending it are separate acts, so you decide when the client hears about it. Once it exists, a globe sits beside the contact’s name and opens exactly what they see, which is the quickest way to sanity check a portal before you point anyone at it.

Their quote carries the way in

When a client who holds a link opens their quote, invoice or confirmation, a second button appears beside Download PDF reading Open your run of show, in whatever you call it on your account. It opens in a new tab, so a client part way through signing or paying does not lose the document.

It shows only when the document is addressed to that person, either billed to the event’s Client contact or matching their email exactly. A share link is a credential, and quotes get forwarded far more freely than people forward their own working pages. If 1pm cannot prove the reader is the person the link belongs to, it shows no button at all.

And the way back

The link works in both directions. A Your booking card sits at the top of the client’s run of show, naming the confirmation with one button: View & pay while there is something owing, View once there is not. No figure is printed on the card on purpose, because the confirmation itself carries the numbers.

What they see is the event header, a countdown to the next item, the full timeline with the detail on each item, event notes, event files, and any invoices billed to them, which quietly makes the page their statement as well as their timeline. It is read only, and your edits reach an open page within seconds.

One glance is worth taking before you hand a link over. Event notes and event attachments are seen by everyone holding a link, client included. Internal notes are not, which is exactly where the supplier margins and the “watch the father of the bride” line belong.

Book a chat from a document

A client reading your quote often has one question standing between them and accepting it. In Account, then Tax & invoicing, tick Let clients book a chat from a document and quotes, invoices, confirmations and proposals grow a booking button that opens your booking page with their name and email already filled in. It is off by default, because switching it on changes documents already sitting in clients’ inboxes.
