One email a week for the pile that is waiting on you
Every chase in 1pm points outward. A reminder to the supplier who has not sent their certificate, another to the one whose insurance lapses next month, another to the one whose file you sent back. None of them covers the pile waiting on you.
The weekly summary is one email that says what that pile looks like. Turn it on from the Weekly summary button on the Requests page, or from your account settings: tick it, pick a day and an hour, and optionally an address, so the summary can go to the shared operations inbox rather than to whoever owns the account. The hour runs on your account time zone.
What is in it
The subject leads with the total, because “3 things need you on 1pm” is actionable from a lock screen and “Your weekly summary” is not. Underneath, up to four counted sections, each naming up to five real examples:
- Waiting on your review. Files that have arrived that nobody has approved or rejected. Nobody can finish while a file sits unreviewed, so this is usually the one to work first.
- Expiring in the next 30 days, each line carrying its expiry date.
- Already expired, counted separately, because a lapsed certificate is out of compliance now rather than heading that way.
- Rejected, no replacement yet.
The counts come from the same query that draws your Requests dashboard, so the email and the screen can never disagree.
It stays worth opening
A section with nothing in it is left out rather than printed as a zero, and a summary with nothing in it at all is not sent. A weekly email that is usually empty teaches people to filter it, and the filter takes the first real one with it.
It also sits alongside the per document chases in Automations rather than replacing them. A reasonable setup is both: Upload not reviewed at two days so a single stalled file pings you quickly, and the summary on Monday at 8am so nothing accumulates unseen.
