One quote the client builds themselves
Most quotes are not one number. The client wants to know what six hours costs and what ten costs, what the second shooter adds, and they are somewhere between 60 and 90 guests until the RSVPs are in. The usual answer is three near-identical quotes that all have to stay in step, and a client with three links and no idea which one is live.
An adjustable quote replaces that with one document. You set the limits, the client moves inside them, and what they accept is what gets billed.
The four things you can open up
Each line grows a Client options button, where you can offer a quantity range (“coverage, 6 to 10 hours, in steps of 0.5”), or mark the line as an optional extra the client ticks on or off, and add a note under the control where the selling happens. Above the lines sit the two that belong to the booking rather than to a line: the guest count, which rescales every per person line at once, and the start time, inside a window you set. Mark one line as the hours and the document prints when the booking starts and finishes, moving with the stepper.
If the same line carries the same offer every time, save the options on the catalog item instead and every quote built from it starts there.
What accepting does
The client’s figures seed the event’s pricing sheet, their guest count lands as the guaranteed pax, and the agreed start and finish land on the booking, so the calendar and the run of show show the times that were actually agreed. Until they accept, your reports keep showing your own figure, because dragging a stepper is not agreeing to anything.
You are told what moved. The acceptance carries a plain summary (“Guest count: 67 to 73. Added: Second shooter. Total: $4,200, now $6,150”), and when the change moved the day rather than only the bill, a line underneath says to check crew call times, access and vacate, and what the kitchen is counting on. 1pm will not pretend to reconcile that for you, but it will never let a quietly different booking land looking like an ordinary one.
Switch it on at Account, Invoice settings, “Let clients adjust a quote”. Nothing becomes adjustable until you say so on a particular quote.
