Block out time on the calendar
Not every hour on a calendar is a booking. The Monday team meeting, the week the ballroom is closed for a refurb, the long weekend you are away. Until now none of that had anywhere to live in 1pm, so it lived in your head, and a lead could be quoted straight into it.
Making a block
Press Block out time at the top of the calendar, or set Clicking adds to Blocked time and click or drag across the days you want. Give it a Name, pick a Space if it applies to one, and set when it runs. Tick All day, or give it a start and end time. A block can cover a couple of hours or run across several days, from 5pm Friday to 9am Monday.
It shows on the calendar as a grey striped chip under its name. Click it to change it or delete it.
With a Space, or without
- With a Space, nothing can be booked in that Space while it is blocked. An event over it can’t be saved, a quote can’t be accepted into it, and clients can’t book an appointment there. Allowing concurrent bookings on the Space doesn’t get round it: a block takes the whole Space.
- With no Space, it shows on the calendar and closes appointment slots in every Space, but you can still save events over it.
If the Space already has a booking at that time, the block still saves, and 1pm tells you which booking it overlaps so you can sort it out.
Repeating
Under Repeat, choose Every day, Every week or Every month, and how many apart. Weekly blocks repeat on the days you tick. Monthly ones fall on the same date or the same weekday, such as the second Tuesday. A series ends never, on a date, or after a number of times.
Every repeat holds the Space like a one-off block. To take out a single repeat, open it and press Delete this one. Delete all repeats removes the series.
Busy times from connected calendars
If you have connected an outside calendar to a Space, its busy times now show on the calendar too, as lighter grey chips marked Busy. They are there to see, not to stop you: you can still book over them. The Busy times and Blocked time tickboxes in the legend turn each one off.
The calendar has the full detail, and Preventing a double-booked Space covers how blocks fit with bookings.
