Runsheet Attachments

Attach files such as PDF’s and images including JPEG’s and PNG files to individual runsheet activity, with advanced options for visibility allowing you to distribute information to exactly who needs it, all within the Event Portal.

Event planners have found this feature to be incredibly useful for many scenarios.

Multiple documents can be attached to a runsheet Activity as required. This feature is designed around a centralised Space File Manager where you can upload and store important documents, allowing these to then be attached to various Activities (for the current and future events):

This flexibility of centralised File Manager is powerful, as it allows you to recycle or reuse all sorts of relevant documents and for all Admins to have access to attach these documents where useful.

Here are just some examples of what could be attached to runsheet activity in 1pm:

  • Flight confirmations.

  • Accommodation booking confirmations.

  • Manuals and how to guides.

  • Speeches.

  • Checklists or other workflow documents.

  • Venue seating and setup plans.

  • Weather contingency plans.

  • Permits and license documents.

  • Audio visual setup guides.

  • Transportation schedules.

  • Contracts and agreements.

  • Briefs e.g. for the photograper.

  • Safety briefings etc…

The visibility of the individual attachments can be changed to suit your requirements:

Changing the Visibility of a Runsheet Attachment affects where that document can be viewed.

By default a new Runsheet Attachment can only be seen by Admins in the Admin area. This can then be tweaked to make it available to the following participants via the Event Portal:

  • Agenda for Everyone.

  • Runsheet for Everyone.

  • Agenda & Runsheet for Everyone.

  • Runsheet for Assignees Only

  • Admin Area Only (Default)

All attachments will appear in the Admin area for all admins, and then appear in the Event Portal depending on which participant is viewing the Event Portal (depending on the visibility setting of the attachment).

In this example below the Grooms Speech is showing only for the Groom within their Event Portal:

Images can also be attached to runsheet activity, for example diagrams, QR codes for check-ins etc. These appear as pop-ups once clicked, and when a PDF is opened in the Event Portal the entire PDF is displayed within the application (an external PDF reader is not required).


Runsheet Attachments are limited only by your imagination, and are a powerful way to organise, share and distribute information relating to your event in the Event Portal.

Printed Runsheet Attachments

Runsheet Attachments can optionally be attached to the PDF runsheet when generating it within 1pm, from the admin area or the live Event Portal.

This uses the Adobe PDF Portfolio feature which ensures that any PDF (including digitally signed PDF’s) and images will be attached to the runsheet PDF, containing all attachments in one file.

For example, if you set the attachment visibility to ‘Assignees’ on a particular runsheet Activity, that PDF will be attached to only that Participants runsheet (for example a photography brief).
