How the number is worked out
Four steps, in this order, because the order changes the answer.
- Start with the gross floor area. Length times width, or the figure off the venue's own spec sheet if you have one.
- Take off anything standing on the floor. The dance floor, the stage, every buffet station and every bar. None of that space can hold a chair.
- Take a circulation allowance off what is left. A percentage, not a fixed number, because a bigger room needs proportionally more walking space.
- Divide the remainder by the per-person allowance for the setup style you are laying out.
Circulation comes off after the fixtures rather than before. Take it off the gross first and you quietly claim part of the dance floor as walking space, which flatters the number by a few covers every time.
Floor area per person, by setup style
These are the working figures the calculator uses. Every one of them already includes the aisle between tables and the space to pull a chair out, so you do not need to add an allowance for either.

What the dance floor really costs you
This is where most capacity sums go wrong. A room that measures out at 250 on banquet rounds does not hold 250 at a wedding, because a wedding has a dance floor, a stage for the band, a bar and usually a cake table as well.
Working in square feet, on rounds of 10 at the typical 12 per person:
- A medium dance floor at 16 by 16 feet is 256 square feet, or about 21 covers.
- A medium stage at 12 by 16 feet is 192 square feet, or about 16 covers.
- Each buffet station takes 100 square feet once you count the service side and the queue, or about 8 covers.
- Each bar takes 120 square feet on the same basis, or 10 covers.
Put a dance floor, a stage, two buffet stations and one bar in a room and you have spent 768 square feet before a single guest sits down. That is 64 covers. It is the difference between confirming a 220 and finding you have 156, and it is the reason those deductions are on the calculator above rather than left as an exercise.
Buffet stations are the ones people forget. The table itself is only about 18 square feet. The rest is the service side, the queue that forms in front of it, and the gap that stops that queue backing into the nearest table of ten.
Where this figure still needs a human
Floor area is the biggest factor in a layout, but it is not the only one. Check these before you quote:
- Room shape. The maths assumes a rectangle. An L-shape, a long narrow room or anything with a pinch point loses covers that a pure area figure never shows. Measure the usable rectangle, not the total.
- Columns and fixed obstructions. A structural column does not just take its own footprint, it takes the sightline of every seat behind it. Treat it as a fixture and deduct generously.
- Service doors. Kitchen access needs a clear run wide enough for a plate carrier moving at speed. If your only door is in a corner, the route to it is not negotiable.
- Ceiling height. Low ceilings make a full room feel oppressive well before the floor runs out, and they rule out staging and rigging entirely.
- What happens after dinner. If the room flips from dinner to dancing, the tables have to go somewhere. Either you have a store, or you keep the covers down.
Why this differs from your venue's own capacity chart
Run a room through this and compare it to the chart the venue publishes and the two will rarely match. There are two reasons, and neither means either number is wrong.
Check how many the chart seats per round. Plenty of venues publish banquet capacity on rounds of eight and never say so on the page. That is a 25 percent swing on its own, and it is the single most common reason a capacity argument goes in circles. Ours is rounds of 10, stated on the tin.
Published charts divide gross area, not usable area. The square footage on a venue spec sheet is the whole room: perimeter, service lanes, air-wall pockets, the strip nobody puts a chair on. The per-person figures in the table above are allowances against the floor you actually lay tables on, which is why this calculator takes fixtures and circulation off first and only then divides. Compare a textbook per-person figure straight against a spec sheet and you will conclude the venue is being conservative when it is simply measuring a different thing.
As a sanity check, the standard comfortable spacing for 60 inch rounds is 11 foot centers, which is 121 square feet per table, or 12.1 per person at 10 a table. That is where the banquet figure above comes from, and it is worth more than any single venue's chart.

Worth repeating, because it is the one mistake with real consequences. Everything above works out how many people comfortably fit in a layout. Your maximum permitted occupancy is a separate figure set by your local fire authority, and it turns on exit count, egress width, sprinkler coverage and construction type. It can come out higher than the layout figure or lower than it.
Use the calculator to plan and to quote. Use the certificate on the wall for the number you are actually held to, and never confirm above it because the floor area said you could.
Work it out once, not every enquiry
The real cost of this sum is not doing it. It is doing it again every time somebody rings up, and getting a slightly different answer depending on who picked up the phone.

Common questions
For rounds of 10 with room to pull a chair out and a server aisle between tables, allow 12 square feet (1.1 square metres) per person. Ten is workable if the room is a good shape and service is quick, and 14 is comfortable for a long seated dinner with wine service. Those figures already include the aisle between tables, so you do not need to add one separately.

Ten percent suits most function rooms. The per-person figures already cover the aisle between tables, so the circulation allowance is only for the extra routes: the main entry path, gangways to the exits and any service corridor the crew needs. Push it to 15 or 20 percent for an awkward room, a room with one door, or anything with heavy service traffic.
