The event booking CRM for hotels.
For the conference and banqueting team. 1pm quotes your day delegate rates and banquet menus per head, keeps the ballroom and every boardroom on one diary, and sends the kitchen a BEO with the final numbers and the dietaries already added up.
Hospitality plan, from $40/month. 30-day free trial. No credit card.
Built for conference and banqueting
A hotel's function business runs on two clocks. The sales side answers conference briefs, prices day delegate rates, walks organizers through the ballroom and chases the contract. The operations side turns each signed booking into a BEO for the morning meeting.
In between, things go missing. The guaranteed number changes in an email the kitchen never saw. The gala dinner's dietaries live in a spreadsheet. The AV company turns up without the insurance certificate. Day two of the conference was confirmed on a different document from day one.
1pm's Hospitality plan keeps the lead, the quote, the menus, the BEO and the invoice on the same booking, so the number the organizer signed for is the number the kitchen preps to and the number on the bill.
Built for city hotels, resorts, conference hotels, country house hotels, and boutique hotels with a function room.
Win the conference, not just the reply
A conference organizer sends the same brief to five hotels on a Tuesday morning. They shortlist the ones that come back first with the room, the rate and a proposal they can forward to their boss.
Day delegate rates as packages
Build your DDR once: room hire, arrival coffee, two breaks, working lunch, the standard AV. Drop it on a quote in one click, each line itemised with its own tax, or offer Silver, Gold and Platinum and let the organizer pick one.
Help: Items, catalog and packagesA per-head quote that follows the numbers
Let the client move the delegate or guest count inside the range you set. Every per-person line rescales together, and the number they accept lands on the booking as pax guaranteed.
Help: Letting a client adjust a quoteOne form for conferences, meetings and weddings
Put one form on your meetings and events page. The client picks what they are planning, and each type asks its own questions and lands as a lead with its own reply template and automations.
Help: Capturing leads with a formCorporate accounts, not just contacts
The office manager books the Christmas party, marketing books the product launch, and accounts pays. Link them to one company and see every lead, booking and dollar from that organization on one page.
Help: CompaniesEvery function room on one diary
The ballroom, the boardrooms, the pre-function foyer and the terrace are each a Space with its own capacity, access notes and changeover time. The diary checks every booking against them.
No double bookings, with changeover time
Two bookings that overlap in the same Space are blocked, and 1pm names the one in the way. Set buffer minutes before and after on each Space, so the boardroom reset after a day meeting is protected before the dinner.
Help: Preventing a double-booked SpaceA ballroom that divides
Turn on concurrent bookings for an airwall room, and two functions can share it as long as they are in different zones, such as Ballroom A and Ballroom B. A room without that switch never takes two bookings at once.
Help: Preventing a double-booked SpaceSee what your sales system has booked
If the ballroom is also held in another system that publishes a calendar feed, connect it to the Space. 1pm shows its busy times on the room so you can check a date before you quote it. It shows them only, and never blocks a booking.
Help: Connecting an outside calendar to a SpaceSite inspections they book themselves
Publish a booking page with the times you walk people through the function rooms, and clients pick a slot. They get a confirmation and a reminder, and a site inspection never blocks the room for a real booking.
Help: Appointments and the booking pageOne BEO for the morning meeting
Banqueting needs the setup. The kitchen needs the menu, the numbers and the dietaries. AV needs the lectern and the screens. The duty manager needs the times. One BEO carries all of it, built from the booking.
A BEO or a function sheet, whichever you call it
Service style, setup style, pax guaranteed, bar package, AV notes, access from and vacate by, all on the booking. Print it for the BEO meeting, or let each department read it on their own link.
Help: The BEO or function sheetYour banqueting menus, built once
Build each menu as courses and dishes, priced per head or by the dish. Attach it to a booking and it appears on the BEO, the client confirmation and the bill. Print it as a menu card for the table.
Help: Food and beverage menusDietary totals on the chef's link
Guests pick their dietary requirements from your list, and the BEO adds them up. Give your executive chef the full kitchen BEO and the totals appear on their link. Other crew links never show who needs what.
Help: Collecting dietary requirementsPlate cost, food cost and covers
Cost your recipes and see plate cost, food cost percentage and margin on every banqueting menu, with anything over your target flagged. The catering and covers report counts covers and service styles across the month.
Help: Plate cost, food cost and marginRun a three-day conference as one booking
A conference is a welcome reception, two days of plenaries and breakouts, and a gala dinner. Each day has its own rooms, menus and times, and the client wants to sign once.
Several days, one agreement
Group the days into a Program. The organizer signs once and pays one deposit, every day moves to Confirmed together, and each day keeps its own BEO, menu and run of show.
Help: ProgramsA live run of show for every department
Share the timeline with banqueting, the kitchen, AV and the organizer, with no login. Each person sees the items that are theirs, and when a time moves, every open link updates within seconds.
Help: Sharing the live linkPush lunch when the plenary runs over
When the morning plenary runs 20 minutes long, 1pm flags the clash with the next item. One tap pushes lunch, or every item after it, and the kitchen's link shows the new times.
Help: Pushing the timeline when an item runs overOutside suppliers cleared before load-in
Ask the organizer's production company, exhibition builder and florist for their public liability certificate or your signed house rules through their own link, with expiry dates tracked. Save the set as a request pack.
Help: Request packsGet paid, and know how the year is pacing
The bill comes off the same booking the kitchen worked from, and the reports read the same bookings, so the numbers agree.
Deposits, balances and card payments
Bill the deposit and the balance as separate invoices. Take card payments through your own Stripe account with no platform fee, or record a bank transfer, and send invoices to Xero.
Help: Deposits and balancesYour service charge, on every bill
Set your standard service charge once, as a percentage or a fixed amount, and it fills in on every new document. Leave it off a line, such as equipment hire. Gratuities stay separate and are never taxed.
Help: Service charges and gratuitiesPace against last year
Sales pace shows booked and tentative business by the month it happens, next to the same month last year. Top clients can group every booking by company, so a repeat corporate account reads as one customer.
Help: ReportsWho closed the business
Set a salesperson on each lead and it carries onto the booking. The revenue by salesperson report totals each person's confirmed business by event date, and exports to CSV for the commission sheet.

Questions from hotels
No. 1pm books functions and events in your function rooms. Accommodation, room blocks and rooming lists stay in your property system, and 1pm does not connect to it. If another system publishes a calendar feed for a function room, 1pm can show its busy times on that Space.
Not quite. If the food comes from outside or there is none, the event spaces page is written for you, and everything on it is on Professional ($20 a month). Hospitality adds the menus, recipe costing and kitchen reports a hotel with its own kitchen uses.
No. Add your executive chef, banqueting manager and AV lead to the booking and each gets their own link with the BEO and the run of show. Nobody on a link needs an account. Anyone who needs to edit bookings is a user on your account.
Yes. Share your account with the people who work with you, and each extra user is $4 a month. They get the same menus and costing tools as you, and you can set which of them owns each sale.
Yes. Import bookings from a calendar (.ics) file and choose the status they arrive as. Leads you are still working can come in from a CSV file, which sends no emails and starts no automations.
Yes. Help with questions and problems is free on every plan. If you want the setup done with you, expert help is paid one-to-one time on a video call: with your permission we sign into your account and build your function rooms, packages, banqueting menus and recipe costing alongside you, then train your events team and your chef. It comes in blocks of 1, 3 or 6 hours, from $150 an hour.
