Event spaces

The event management CRM for event spaces.

You hire out the room. Someone else brings the food, the AV and the styling. 1pm replies to the lead on a date you can actually take, stops the room being booked twice, and gets every outside supplier's paperwork and access notes sorted before they load in.

Professional plan, from $20/month. 30-day free trial. No credit card.

A large event space set for an awards dinner, with banquet rounds, a stage and a projection screen

Built for a business that sells time in a room

An event space earns from hours in a room, not plates of food. The work is answering leads before the next venue does, showing people around, pricing the hire, and making sure two bookings never land on the same afternoon.

Then the building fills with people who do not work for you: the client's caterer, a hired AV crew, a stylist, a band. Each one needs to know which door to use, when they can get in and when they have to be gone. Each one should have handed over their insurance before they arrive.

Much of the venue software on the market grew out of restaurants, hotels and catering. 1pm's Professional plan leaves the kitchen tools out and keeps what a hire business uses: leads, quotes, the calendar, Spaces, supplier paperwork and a live run of show.

Built for warehouses, galleries, studios, rooftops, halls, barns, conference rooms, and hotels without a restaurant.

Sales CRM

Win the booking

The lead that gets a real answer first usually books. These get you there without sitting at a desk.

Reply to leads on dates you can take

Embed a lead form on your website and 1pm can reply for you, with your brochure and a quote attached. Before anything sends, it checks the room is free at that time. If it is not, the reply waits for you.

Let people book a viewing

Put a booking page online and clients pick a time to walk through the space. You choose which Spaces take viewings and when, with a buffer either side, and 1pm sends the confirmation and the reminder.

Quote the hire by the hour

Put the hours, the guest count and optional extras (furniture, cleaning, security) on the quote, and let the client adjust them inside the limits you set. The price updates as they go, and accepting writes the agreed start and finish times onto the booking.

Hold the date, then take the deposit

When a client accepts a quote, the room is held for them, and a second client cannot accept the same time. They agree to your terms and pay the deposit at the same private link, and the booking confirms when the deposit is paid.

Spaces & calendar

Keep the diary honest

Each room is a Space with its own capacity, access notes and turnaround time. The diary checks every booking against it.

Every room on one calendar

See bookings by month, week or day, coloured by status and filtered by Space. Drag a booking to another date, or onto another room's row to move it.

Help: The calendar at a glance

No double bookings, with turnaround time

Two bookings that overlap in the same Space are blocked, and 1pm names the one in the way. Set buffer minutes before and after on each Space, so a 6pm pack-down cannot be booked against a 6pm load-in.

Help: Preventing a double-booked Space

Split a large room into zones

Turn on concurrent bookings for a divisible Space, and two bookings can share it as long as they are in different zones (east and west, the mezzanine). A room without that switch never takes two bookings at once.

Help: Preventing a double-booked Space

See the bookings you take elsewhere

Paste a Google, Apple or Outlook calendar link into a Space, and the busy times from that calendar are listed on the room. 1pm only reads the calendar and never changes it.

Operations & compliance

Brief everyone who walks in

On the day, most of the people in your building work for someone else. Each of them gets one link with what they need.

The room's details on every booking

Save each Space once with its address, parking and loading dock instructions, and floor plans. Every booking in that room carries them, along with the access from and vacate by times, and suppliers see them on their link.

Help: Access From and Vacate By

Insurance and licences before load-in

Ask each outside caterer and supplier for their public liability certificate, food safety licence or signed venue rules through their own link, with expiry dates tracked. Save the set as a request pack and it can land on every new booking of that type.

Help: Request packs

A live run of show for the day

Share the timeline with the client and every supplier, with no login. Each supplier sees the items that are theirs, and when a time moves, every open link updates within seconds.

Help: Sharing the live link

Know who is in the building

Turn on check-in and suppliers tap in on the link they already have. You see a live count and a named list of who is on site, which is the list you need if the building has to be cleared.

Billing & reports

Get paid, and see which rooms earn

The money and the numbers come off the same bookings, so there is nothing to re-key.

Deposits, balances and card payments

Bill the deposit and the balance as separate invoices. Take card payments through your own Stripe account with no platform fee, or record a bank transfer, and send invoices to Xero.

How hard each room works

The Space utilization report shows bookings, days in use, how full each room ran against its capacity, and revenue, including rooms sitting idle. Average spend breaks yield out by Space.

Questions from event spaces

Do I need the Hospitality plan?

No, not if the food comes from outside. Everything on this page is on Professional. Hospitality adds menus, recipe costing and kitchen reports for venues that cater in-house.

Can a client bring their own caterer?

Yes. Add the caterer to the booking and they get their own link with the run of show, the access times and the documents you need back from them, such as their insurance certificate. They do not need an account.

We have several rooms in one building. How do I set that up?

Add each room as its own Space, with its own capacity, access notes and turnaround buffers. The calendar filters by Space, and the double-booking check runs room by room.

Can I bring my existing bookings across?

Yes. Import bookings from a calendar (.ics) file and choose the status they arrive as. Leads you are still working can come in from a CSV file, which sends no emails and starts no automations.

Is there a free trial?

Yes, 30 days with every feature, and no credit card.

Every feature, for every kind of business, is on the features page.
