Invoices on your event portal
If the business running the event has invoiced you for it, your event portal link shows those invoices in a Your invoices card, so you don't need to dig out the email to find one. If you are the client the event was booked for, a Your booking card at the top of the page takes you back to your booking confirmation too.
This article covers who sees each card, what it shows, opening an invoice, downloading or printing it, changing who it is made out to, paying by card or bank transfer, and why a card might not appear.
Who sees the Your invoices card
The card lists only invoices billed to you, for this event. Nobody else holding a link to the same event sees your invoices, and you don't see anyone else's.
An invoice appears once the business has sent it. Draft invoices they are still working on don't show, and neither does an invoice they have cancelled.
If there is nothing billed to you on this event, the card doesn't appear at all. Most crew never see it.
What the card shows
The card sits near the top of your event portal, above the event details and the run of show. Each invoice has its own row, newest first, showing:
- The invoice number.
- Balance due and the amount still owing, or Paid in full once it is settled.
- A button: View & pay while money is owing, or View once it is paid.
The card doesn't show line items or totals. Those are on the invoice itself.
Opening an invoice
Tap View & pay or View. The invoice opens in a new tab, so your event portal stays open behind it.
The invoice page shows the full document: the business's details, the issue date, the due date, each line, the total, what has been paid so far and the Balance due. A deposit or balance invoice also shows a Payment schedule, listing each payment on the booking, which one this invoice covers, and whether the others are paid or when they fall due.
Downloading or printing
At the top of the invoice page there are two buttons:
- Download PDF saves a PDF copy of the invoice, which is the easiest way to send it to your accounts team.
- Print / Save PDF opens your browser's print options, where you can print it or save it as a PDF yourself. The buttons and the page background don't print, only the invoice.
Changing who the invoice is made out to
If the invoice needs to be made out to your company, or needs an ABN, an address or a PO number on it, click Edit invoice details at the top of the invoice page. You can change the company or organisation, the person's name, the address and business number, and the PO or reference number. The amounts and the email address stay the same.
Click Save invoice details. The invoice updates straight away, so Download PDF gives you the corrected copy. The business is told what you changed.
The button is there until the invoice is paid. If it isn't there, ask the business to make the change.
Paying by card
When the business takes card payments online, the invoice page has a Pay button with the amount on it, for example Pay $1,250.00. It always pays the full balance still owing on that invoice.
The button takes you to Stripe's secure payment page. When the payment goes through, Stripe brings you back to the invoice, which says Payment received with a thank you and shows the updated balance. The button disables itself while it hands you over to Stripe, so a second tap cannot charge you twice.
Some payment methods, such as a bank debit, take a few days to clear. In that case you come back to the invoice without the payment received message, and the balance changes when the payment clears.
Under the Pay button there may be a tick box to keep your card on file, which lets the business charge later amounts without asking for your card again. It is unticked unless you tick it.
If there is no Pay button, the business doesn't take card payments on this invoice, or it is already paid.
Paying by bank transfer
When the business has added its bank details, the invoice has a Pay by transfer section with those details and a Payment reference, which is the invoice number. Use that reference when you send the money so the payment is matched to the right invoice.
A bank transfer shows as paid only once the business receives it and records it. Until then, the invoice and the card on your event portal still show a balance due.
The transfer details disappear once the invoice is paid in full, so nobody pays it twice by mistake.
The Your booking card for clients
If you are the client the booking is made out to, a Your booking card sits at the top of your event portal, above the other cards. It shows your booking confirmation's number and a button: View & pay while there is still something to pay on the booking, or View once there isn't.
The button opens your booking page in a new tab, where you can reread what you agreed, agree to the terms if you haven't yet, and pay your deposit or balance. The card shows no amounts itself. The booking page carries the figures.
Only the person the confirmation is made out to sees this card. Crew on the same event never do.
If a card isn't showing
- The invoice is billed to someone else. The card only shows invoices billed to the contact your link belongs to. If the business invoiced your company under a different contact, or invoiced another person in your group, it appears on that person's link, not yours.
- The invoice isn't for this event. Each event portal shows only the invoices for its own event.
- The invoice hasn't been sent yet, or was cancelled. Drafts and cancelled invoices never appear. A cancelled invoice's link stops opening too.
- You paid a moment ago. The card updates when your event portal page reloads. Pull down to refresh on a phone, or reload the page.
- There is no Your booking card. Your booking has no confirmation yet, or the confirmation isn't made out to you. Ask the business if you expected one.
If none of those explain it, ask the business to check who the invoice is billed to.
