Copying out the run of show

Sometimes you just want the run of show as plain text: a quick summary to drop into a message when a client asks "so what does the day look like?", or a copy you can open in Notepad and reshuffle in a meeting. Copy out does exactly that. It is the mirror of Paste in: one button takes your whole timeline and puts it on the clipboard as simple text, ready to paste anywhere.

How it works

Open the event in the planner. Above the timeline on the right side, next to Paste in, you will see a Copy out button. Click it. The icon flips to a tick for a moment to confirm the copy worked, and your run sheet is now on the clipboard. Paste it into an email, a text message, a chat, a document, or a plain text editor.

There is no dialog and no preview. It is a single click, because the whole point is speed.

What you get

Copy out keeps it deliberately plain: the start time and the title of each item, one activity per line, in the order they appear on the timeline. For example:

9:00 AM Setup
9:30 AM Doors open
12:00 PM Lunch
6:00 PM Speeches

Times come out in 12-hour form (9:00 AM, 6:00 PM) so they read naturally in a message to a client. Everything else on the item, the Details, the Where, the Responsible crew, the duration, the private flag, is left out on purpose. This is a summary, not a full export.

Empty draft rows with no title are skipped, so a half-finished row you have not named yet will not clutter the copy.

Copy out, tidy up, paste back in

Because Copy out and Paste in share the same simple format, the two work as a round trip. This is handy when you want to rework a run of show quickly outside 1pm, for instance during a planning call:

  1. Click Copy out and paste the timeline into a plain text editor.
  2. Reorder lines, change times, rename activities, add or remove rows, whatever you need.
  3. Back in 1pm, use Clear all to empty the timeline (find it next to Copy out; it asks you to confirm and can be undone straight after).
  4. Click Paste in and paste your edited text back.

You end up with the reworked run sheet in 1pm, having done the fiddly editing wherever you are fastest. If you only added a few lines rather than rewriting the whole thing, you can skip the Clear all step and just Paste in the new lines on top of what is already there.

Good to know

  • Copy out always reflects the timeline as it stands right now, including any edits you have made since the page loaded.
  • It copies every item, even ones currently hidden by the Responsible filter or the Hide private toggle. Those filters only change what you see on screen; they do not change what gets copied.
  • The times it writes back are understood by Paste in, so a copied run of show pastes straight back in without reformatting.
  • If nothing copies, your browser may be blocking clipboard access for the page. Reload and try again, or use Print from the run of show for a formatted version instead.
