Your email signature
Your email signature is the block at the end of the first reply you send to a lead: your logo, your name and job title, your phone number, a link to your website, whatever you want a new client to have in front of them. It is built from the same blocks as a proposal template, and 1pm adds it for you, so it is never missing and never pasted in twice.
This article covers building your signature, setting your name, which emails it goes on, and how to leave it off a reply.
Build your signature
Go to Leads in the sidebar, then Email signature (it sits under Reply templates). The first time you open it, 1pm makes an empty signature for your account. There is one signature per account, shared by everyone on your team.
The signature is a stack of blocks. Use + Insert to add one, drag the handle to reorder, and the preview on the right shows the signature at the end of a sample reply, exactly as the email carries it.
- Logo: the logo from your default branding theme, at the size and alignment you choose. Upload or change it on the Branding page. With no logo set, the block is left out.
- Text: your sign-off and contact details. Headings, paragraphs, bold and bullet lists. Click the block to write, and click away to save.
- Image: one picture from your Files library, such as an award badge or a photo of the venue.
- Button: a button that opens a web address, an email (start the link with mailto:) or a phone number (start it with tel:). It uses your branding theme's accent colour.
- Divider: a line between your reply and your details, or between two parts of the signature.
Emails show one font everywhere (Arial), so the signature has no font settings.
Your name and job title
Type [your name] or [job title] in a Text block, or click the buttons above the text box, and each reply fills in the name of the person who sends it. A typical sign-off:
Kind regards, [your name], [job title]
Each person sets their own name and job title on their Profile page, under Your name. Team members set theirs on their own profile, and a reply they send signs with their name, not the account owner's. An Auto Reply has nobody behind it, so it signs with the account owner's name.
If someone has not set a name, a line that holds only [your name] and [job title] is left out of the email, so the client never sees an empty line. The builder warns you when your own name is missing.
Publish it
Your edits save as a draft. Replies only use the signature once you click Publish signature, and they keep using the published version until you publish again. Discard changes puts the draft back to the published version.
Publishing also copies any pictures in the signature to where an email can show them. A picture has to be a PNG or JPEG of 2 MB or less. If one can't be used, the builder names it and the email goes without it.
Which emails get it
The signature goes on the first reply to each lead, the one that usually carries your quote, your proposal and your availability. That first reply can be:
- a reply you write in the lead's thread
- a quote you send from the quote page
- an Auto Reply
Later replies in the same thread go without it, the same way your own email program leaves the signature off a reply in a long conversation. The acknowledgement email ("we got your enquiry"), automation emails, invoices and confirmations never carry it. A first reply that failed to send still counts, because it already carries the signature and Retry sends it as written. Only a failed Auto Reply doesn't count, so your first reply after it is signed.
Leaving it off a reply
When you open the composer on a lead nobody has replied to yet, a chip under the message box reads Adds your email signature to the end of this reply. Click the cross on the chip to send this reply without it. If you use Undo send, the chip comes back with the rest of your reply.
In the thread, a signed reply shows your message, then a folded Email signature line. Click it to see the signature as it went out.
Free trial
During the free trial, emails can't link to other websites. Buttons and any line of text that reads as a web address (such as www.yourvenue.com) are left out of the signature until your paid plan starts. Phone numbers and email addresses still show.
Keep sign-offs out of reply templates
Your reply templates no longer need a sign-off or contact details at the end. If a template still has them, the first reply shows them twice. Take them out on the Reply templates page.
