Accepting a quote and choosing options
A quote is the first of the three steps in your booking. It tells you what the day costs, and on some quotes it lets you change what you are buying before you say yes.
This article covers opening the quote, changing the parts you are allowed to change, accepting it, asking for something different instead, and the few messages you might meet on the way.
Opening it
Click the link you were emailed. There is nothing to sign up for and no password. The whole quote is on the page, with the total at the bottom.
Three buttons sit at the top:
- Book a chat opens their booking calendar, so you can grab a time to talk it through before you decide.
- Print / Save PDF and Download PDF give you a copy for your records.
- Run of show, where they have attached one, slides the plan for the day out beside the quote, so you can see the shape of the day next to the price.
Changing the quote before you accept it
Some businesses open parts of a quote up. If yours has, a note near the top says You can change this quote and the lines you are allowed to change are marked with an asterisk.
Depending on what they have allowed, you may be able to:
- Set your guest count in a box above the lines. Every per-person line updates with it, and the page prints the smallest and largest number you can pick.
- Set your start time, within the window they have offered. Type it the way you would say it, such as "6pm", "630" or "18:30", then press Enter or click away. Where the quote has a finish time, it moves with your start.
- Untick optional lines you do not want.
- Type a different quantity into the Qty box on an adjustable line.
The total updates the moment you change something, so you can see what each choice costs before you commit to any of it. Nothing you change is sent anywhere until you accept.
Accepting it
Click Accept quote, add a note if you want to say something alongside it, then click Confirm acceptance.
Accepting builds your booking from exactly what is on the page at that moment, including anything you changed. From then on the quote link takes you to your booking rather than back to the quote, and the quote itself stays readable from the Your quote link at the top of the page.
Some businesses let you change your guest numbers after that, up to a date they set. See changing your guest numbers.
Accepting a quote is not the same as having a booking. Two steps follow it: agreeing to the terms and paying the deposit. Nothing is held for you until the money arrives, so it is worth finishing all three in one sitting where you can.
Asking for something different
Click Request changes / Ask a question, type what you want changed, and send it. That goes straight to the business and accepts nothing, so you are not committing to anything by asking. You can still accept afterwards, and the quote stays exactly as it was while you wait.
Messages you might meet
- "This quote has lapsed." It is past the valid-until date printed on it. The Accept button is gone, but Ask a question is still there, and they will gladly put a fresh quote together.
- "Your planner will have to approve this manually." The date you accepted is already held by another booking. They have been emailed about it and will reply.
- "This quote is still in DRAFT status." It was shared before it was finished. Ask a question and they will send it through properly.
Next
- Accepting the terms, which is step two.
- What the booking portal is for what else is at your link.
