Reviewing a booking with several events
Some bookings are several events rather than one: a wedding weekend from the rehearsal dinner to the farewell brunch, or a conference over three days. When a business books those together, you get one booking page for the lot. You read every event, agree to the terms once and pay one deposit, instead of doing it all again for each day.
This article covers what the combined booking shows, reviewing each event on its own page, signing once, paying, and what to do if one of the events is wrong.
Opening it
The business emails you a link, usually a button labelled Review & confirm. It opens your booking page in the browser. There is nothing to install and no account to create.
The top of the page shows the Event date as a range, from the first event to the last. Under that is the progress bar, ACCEPT, AGREE and PAY DEPOSIT, which works the same as any other booking.
What the combined booking shows
The summary bar near the top carries the name of the whole occasion, the date range, the total and the deposit. Click it to open the full booking.
Inside, under the occasion's name, a list headed Events in this program shows every event on the booking, with its name and date. (The business may use its own word for events, so the heading can read differently.) Each one has a Review in new window link.
Below the list is the pricing, headed PROGRAM AGREEMENT. The charges are split into one section per event, each titled with that event's name and date and with its own subtotal. The total, deposit and balance at the bottom cover everything.
An event marked No charge in the list has no charges of its own on this booking. It is still part of what you are agreeing to. If you expected to pay for it, check with the business before you sign.
Reviewing each event
Click Review in new window next to an event. Its details open in a separate tab, so the booking page stays where you left it.
The event page is headed with the event's name, with Part of and the occasion's name above it. Depending on what the business has filled in, it shows:
- the date and Event time
- Access / vacate, when you can arrive to set up and when everything must be cleared
- Where, the place and address
- Guests, including the guaranteed number when there is one
- Service and Setup, how the food is served and how the room is laid out
- Bar, Menu and AV & technology
- Charges for this event, each line with a Subtotal for this event
The event page is for reading only. There is nothing to sign or pay on it. Use Print / Save PDF if you want a copy of one event on its own, for a supplier or a family member, say.
It shows the details as they were when the business prepared your booking. If something has been agreed since, the business will confirm it with you separately.
Signing once for the lot
Go back to the booking page, read the terms, and use Agree to terms in the usual way: check the Signing as name, tick the box, and click Confirm booking.
That one signature covers every event in the list. You never sign an event on its own. For the detail of each step, see accepting the terms.
Paying
There is one deposit and one balance for the whole booking, not one per event. The payment section appears once you have agreed to the terms, and you pay by card or bank transfer the same way as any booking. Some bookings are split into more payments, such as a progress payment before the balance, and the page lists each one with its amount.
Where the balance has a due date, it counts back from the first event, not the last. So on a three-day booking, the balance is due before day one.
For how the payment section works, see paying a deposit, progress payment or balance. When the deposit is paid, all three steps turn green and every event on the booking is confirmed together.
If one event is wrong
Don't sign. Your signature covers every event on the page, including the one that is wrong.
Instead, do one of these:
- Reply to the business's email and tell them which event is wrong and what should change. This is the best route when the rest of the booking is fine.
- Click Decline terms, say which event is wrong in the box, and click Send. The business is notified with your reason. Once declined, that page can no longer be signed, so the business needs to send you a corrected booking.
When the business fixes it, one of three things happens:
- The same link is sent to you again. Open it and check the event you raised before you sign.
- The page drops the Agree to terms panel for a while. The business has taken the booking back to edit it. It returns when they send it to you again.
- The old link stops working. The business has withdrawn that booking and will send you a new link for the corrected one. Use the new one.
If the terms, deposit or total change while you have the page open, it won't record your signature. It says The terms, deposit or total changed after you opened this page, so we didn't record your agreement. Read it again and agree below. That is there to make sure you only ever sign what you have actually seen.
Things that work differently
- Guest numbers can't be changed from this page. On a single-event booking you can sometimes adjust your guest count yourself. On a booking with several events, ask the business.
- Everything is agreed together. You can't sign for some events and leave others. If you only want part of it, tell the business before you sign.
