Renaming events, crew, spaces and the run of show

1pm's default vocabulary is a venue's: events, crew, spaces, run of show. It fits a hotel banqueting team perfectly and fits plenty of other businesses badly. A caterer runs jobs, not events. A photographer works with suppliers, not crew. An onboarding account has portals and no run of show at all. Rather than ask you to translate in your head every day, 1pm lets you rename four of its core terms and then uses your words everywhere.

This article covers what can be renamed, where each rename reaches, the one that behaves differently from the rest, and what does not change.

Where the settings are

Account, then Profile, then the Wording tab. Four cards, each with a text box and a list of suggestions you can pick from or ignore. Type your own if none of them fit.

Each takes effect immediately, across the app, for the whole account.

What you can rename

Run of show. A single word or phrase. Suggested alternatives are "runsheet", "running order" and "order of events". 1pm handles the capitalisation for you, so entering it lowercase is right: it appears as "Run of show" at the start of a heading, "run of show" mid-sentence, and in capitals on the live badge.

Space, spaces. Singular and plural, because 1pm needs both. The suggestions are the resources event pros most often repurpose Spaces into: photographer, celebrant, truck, crew, room, team. If you use Spaces as rooms in a venue, the default is already right.

Event, events. Singular and plural again. Suggestions are portal, job, booking and project. This one reaches furthest, because "event" appears in more places than any other word in 1pm. It also gets the grammar right: 1pm works out whether to write "a job" or "an enquiry" so a rename does not leave broken sentences behind.

Crew, crew member. Singular and plural. Suggestions are staff member, volunteer, team member, supplier and contractor. Enter these lowercase too.

Crew wording works differently

The first three are live renames: change them and every screen updates, including work you created years ago.

Crew wording is not. The crew word is stored on each event, so the setting on the Wording tab is a starting point that gets copied onto new events. Anything that already exists keeps the wording it has.

That is deliberate rather than an oversight. One account genuinely does need different words on different events: a wedding has suppliers, a conference has crew, a fundraiser has volunteers. So the account setting seeds the common case and each event can still differ.

Two consequences worth knowing:

  • Setting it does not rename your existing events. If you set it and nothing appears to change, that is why. Change the wording on a single event from its Wording tab.
  • It is per event, so it can vary. That is a feature when you want it and a surprise when you do not.

One extra behaviour: on an event collecting RSVPs, the crew heading becomes "Guests & " plus your plural, because the audience genuinely is both. Set your plural to "volunteers" and the section reads "Guests & Volunteers".

Where the renames reach

Your words replace the defaults across the planner: navigation, page headings, buttons, form labels, tabs, empty states and helper text. They also reach the surfaces your crew and clients see, including share links and printed pages, and the automation email editor, so a merge chip and the email it lands in use the same vocabulary.

What does not change

  • Your data. Renaming is a label change. Nothing is rebuilt, nothing is migrated, and switching back restores the old wording with everything intact.
  • Addresses. URLs keep their original paths. An account calling events "jobs" still has them at the /Events address. Bookmarks keep working, which is the point.
  • This help centre. These articles say "event", "crew" and "run of show" throughout, because they are written for everyone. If you have renamed something, translate as you read.
  • Industry terms with fixed meanings. BEO, pax, access and vacate stay as they are. They are the vocabulary of the trade rather than 1pm's own labels.
  • Other people's accounts. The setting is per account, so a colleague you share with sees your wording, and an account you have been given access to keeps its own.
